The role of the Office Manager is an important one in any company. The larger the company and the more people in the office, the more there is to do and the better your attention to detail needs to be. Just because you are the Office Manager, it doesn’t mean that you need to do everything yourself. The clue to this is in the word ‘manager’ which means that you get to delegate and manage, rather than just do. So, look to forge partnerships and to create a space where the administrative stuff is as easy as possible. For example, you might want to put systems in place to manage travel bookings instead of having to do them all yourself. Or maybe you want to outsource the cleaning of the office instead of having to manage a team of maids and domestics. Remember why you are there
Whatever job you are in, it is always good to remember who your clients are. In the case of the office manager, your clients are the people who work in the office and so it is them that you need to please and help. As much as you need to do your work, make sure that you have time for your ‘clients’ and that they always feel you have their interests at heart. A good suggestion here would be to try and arrive at work before anyone else. If you are responsible for the smooth running of the office, then it is handy to get in before the chaos of the day has started to ensure that each day starts out with the office in the perfect state.
A good Office Manager needs to plan business ahead. If you are constantly reacting to things, then you will be run off your feet very quickly. And it is simple stuff – like don’t wait for the printer to run out of paper before ordering more. If you are on top of those types of situations, then you will have a few emergencies and happy staff. So, make sure that you are performing regular inventories, so you don’t suddenly have to manage an explosive situation or an angry boss.
